Facilities Administrator | Huddersfield |Monday to Friday | Salary up to £28,000 per annum

We are supporting a well-established UK retail and distribution group operating across e-commerce, logistics, and large-scale warehousing. The business supplies a wide range of consumer products directly to customers nationwide, operating multiple distribution centres, offices, and commercial properties across the UK. With continued growth and significant investment in infrastructure, systems, and people, the organisation places a strong focus on safety, compliance, and well-maintained facilities to support its operations.

Due to ongoing expansion, they are now looking to appoint a Facilities Administrator to support the day-to-day coordination of facilities, maintenance, and contractor activity across their sites.

The Role:

As Facilities Administrator, you will play a key role in supporting the facilities and estates function, ensuring maintenance activity, compliance documentation, and contractor coordination are managed efficiently. You will act as a central point of contact for facilities-related queries, helping to ensure buildings and services remain safe, compliant, and fully operational.

Key Responsibilities:

  • Supporting the coordination of planned and reactive maintenance across sites
  • Raising and tracking work orders, purchase orders, and contractor jobs
  • Liaising with external contractors and internal teams to schedule works and follow up completion
  • Maintaining accurate facilities, compliance, and safety documentation
  • Logging issues, monitoring progress, and escalating where required
  • Assisting with health and safety records, inspections, and audit preparation
  • Updating internal systems and spreadsheets with maintenance and contractor information
  • Supporting the facilities team with general administrative duties and reporting

What We Are Looking For:

  • Previous experience in an administrative role, ideally within facilities, property, maintenance, or a similar environment
  • Strong organisational skills with excellent attention to detail
  • Confident using Microsoft Office and internal systems
  • Ability to manage multiple tasks and prioritise effectively in a busy environment
  • Clear communication skills and confidence dealing with contractors and internal stakeholders
  • A proactive and reliable approach with a strong sense of ownership
